ProDatum
Ref 000 Project management software for construction firms, architectural practices, and specialist teams

Construction project management,
measured from one point.

Drawings, snagging, site diary, client updates. A bespoke construction project management system built around the way your firm actually works.

Built for firms too small for Procore, too big for spreadsheets. Contractors, architects, and everyone running real projects.

Ref 001 · The problem

"Before this, I only found out what was happening on site once a month, whenever I made it out there myself." A familiar story for directors running multiple jobs off spreadsheets, WhatsApp threads, and site visits.

Ref 002 · What's inside

One bespoke system, built around your jobs.

Every feature below came out of a real site, for a real firm, not a spec written before anyone used it.

Dwg-01

Drawings & documents

Versioned drawings, folders, and a full change register. Current vs superseded, always clear which one's live.

Dwg-02

Site diary

Daily log with weather pulled in automatically. Becomes a dated, defensible record of every day on site.

Dwg-03

Snagging

Photo, area, trade, deadline, and client sign-off. Closed out with one tap, exported as a clean PDF.

Dwg-04

Variations

Full cost breakdown, photos, and a timestamped PDF. Sent straight to the people who need to approve it.

Dwg-05

Messaging

Clients see their own thread only, never the internal team conversation. Nothing crosses over by accident.

Dwg-06

Roles & permissions

Client, architect, builder, admin. Each person sees exactly what they're meant to, nothing more.

Ref 003 · Also for architects

Same platform. Shaped for architectural practice.

Because every build is scoped to your firm, an architectural practice gets a very different ProDatum to a contractor. Contract administration, RIBA-style project stages, architect's instructions with cost impact, and a live financial snapshot for every project.

Contract administration, built into every project

Full cost tracker with contract sub-totals, professional fees, VAT, and revised contract sum. Cross-referenced against every architect's instruction, so the paperwork stays defensible.

ProDatum architect project cost tracker showing contract value, fees and revised totals

Architect's instructions with real financial impact

Each AI numbered, dated, and linked to a RIBA-style project stage, with cost impact rolled straight into the revised contract sum. Issued and tracked through to sign-off, exportable as a PDF for the record.

ProDatum architect instruction showing project stage, cost impact and issue details

Live financial snapshot on the project overview

Contract value breakdown, payment status, and variations by instruction, visible at a glance every time you open the project. No spreadsheet reconciliation. No waiting for the QS to send an update.

Ref 004 · Where it fits

The gap between spreadsheets and enterprise software.

Spreadsheets & whatsapp

  • No single source of truth
  • Nothing dated or provable
  • Falls apart past one site
  • Free, until something goes wrong

ProDatum

  • Built around your existing workflow
  • Every entry dated and exportable
  • Scales from one site to twenty
  • Priced for a small-to-mid firm

Procore & enterprise PM

  • Built for national contractors
  • Per-user pricing adds up fast
  • Months to configure and train
  • Support queue, not a person

Site diary, with weather logged automatically

Every day on site logged, dated, and defensible. Weather is pulled through automatically so you never have to remember to add it, and it becomes the record a director actually needs when a delay claim lands.

Snagging, ready for sign-off

Photos, areas, trades, and status pills. Ticked off with one tap, exported to a clean PDF for the client walkthrough.

Every build is scoped to your firm.

ProDatum isn't a template with your logo on top. Every instance is built around how your firm actually works, your terminology, your paperwork, your process.

Ref 007 · Built around real firms

Same foundation. Completely different workflows.

ProDatum isn't a standard platform with different logos applied. Each build starts with the way the firm already works, then the system is shaped around it.

Architect case study · Adaptive Design Studio

Project management shaped around architectural practice.

Adaptive Design Studio specialises in highly individual home adaptation projects, where architectural information, contract administration, site records, financial information and communication all need to stay connected.

Their ProDatum build was designed around the way an architectural practice manages a project rather than adapting a contractor workflow after the fact.

What we built around them
→ RIBA-style project stages
→ RFIs numbered per project
→ Architect's Instructions
→ Live project financials
→ Site Visit Reports
→ Tender Portal
→ Meeting Minutes
→ Drawing & document control
“A bespoke project management system for our architectural practice. Every solution was tailored specifically to how we work.”

Contractor case study · Glebe Construction

Built around the reality of running live construction projects.

Glebe Construction manages residential building and adaptation projects across Yorkshire. Their version of ProDatum needed to connect what happens on site with the people managing the job from the office.

The result is a site-led system where drawings, daily records, variations, snagging, client communication and handover information all live against the same project.

What we built around them
→ Site diary & weather records
→ Drawing revision control
→ Snagging & photo evidence
→ Variations & approval PDFs
→ Client project access
→ Project messaging
→ Health & safety records
→ Handover documentation

“A bespoke construction project management platform tailored specifically to the way our company operates. Willing to understand the finer details of our requirements rather than simply offering an off-the-shelf solution.”
— Adam Gallagher, Glebe Construction
Ref 009 · Configurable

Built for construction PM. Configured to your role.

The underlying product is the same. What changes is the interface, the terminology, the workflow, and the dashboard — tuned to whoever is running the project.

Ref 010 · Questions

Before you ask.

Is this built for my firm specifically, or is it off-the-shelf?+
Every ProDatum instance is built around your firm: your workflow, terminology, paperwork, permissions and branding. It is not an off-the-shelf system with your logo added on.
What does it cost?+
ProDatum builds start at £11,000, depending on scope, plus £150/month for hosting and support. You will get a clear price before anything is built.
How long does it take to go live?+
Because every ProDatum instance is built around your firm, delivery time depends on scope. We will agree a realistic build and go-live timeline with you upfront.
Who owns the software once it's built?+
You get a licence to your own branded instance, with your data, your team, and your clients. Full terms are set out in writing before go-live.
What if I need something new after launch?+
Just like a variation on a job: we quote it, you approve it, then it gets built. No surprise bills, and new functionality is priced before work begins.
